Plan the Ride Before You Send the Invitations

The holiday party is the one night of the year when a company puts its whole team in one room, often with an open bar, and then sends everyone home in the dark. Getting people there is easy. Getting everyone home safely, without the organizer calling cars from the doorway at midnight, takes a plan. This guide walks through the decisions that matter, in the order you'll face them. When you're ready, call or text us at (682) 276-6812 and we'll build the transportation plan with you.

The short version:
🧮 Size the vehicles for expected attendance, not the transportation RSVP
🔁 One charter if everyone leaves together; a shuttle loop if arrivals are spread out
🏠 Plan the ride home as carefully as the ride there
📅 Reserve December dates in October or early November

How Many Vehicles Do You Actually Need?

Start from the number of people you expect at the party, not the number who said they want a ride. When the ride is free and there's a bar, plenty of people who planned to drive change their minds on the night. A vehicle that's one size too small means a second trip, a late start and a longer night for everyone.

The other question is where people are coming from. If everyone leaves one office at one time, a single larger vehicle is simplest. If your team is spread across several offices or finishes work at different times, two or three smaller vehicles running at the same time get everyone there together.

RidersOne pickup pointTwo or more pickup points
Up to 6 One SUV (GMC Yukon or Chevrolet Suburban) One SUV per office
7–14 One executive Sprinter A Sprinter on a short loop, or two SUVs
15–31 A 25-passenger minibus or 31-passenger executive bus Two Sprinters timed to arrive together
32–56 A 56-passenger coach Several vehicles, one point of contact

Shuttle Loop or One Charter?

These solve different problems, and picking the wrong one is the second most common planning mistake.

  • One charter fits a party with a fixed start where everyone leaves the office together. It moves the whole group once.
  • A shuttle loop fits a party where people drift in over an hour or more, or a venue with a hotel block. One vehicle running back and forth moves far more people than it has seats.

A loop needs fewer vehicles but a longer booking. A charter is simpler but has to fit everyone at once. Tell us how the evening is likely to unfold and we'll tell you which one fits.

The Ride Home Is the Part Planners Forget

Everyone arrives at about the same time. They leave across three hours, in whatever order they choose. Plan the return as deliberately as the arrival. Four approaches work well:

  • Set departure times. Put two or three return times on the invitation and announce them at the party. It's predictable, and it gives parents an early exit that doesn't feel like leaving early.
  • Keep the vehicle on site. Book by the hour and your chauffeur stays until the last person is ready. It's the right call when you can't predict the finish.
  • Drop people at home. A planned route of home drop-offs instead of a return to a dark office parking lot. It's the detail employees remember.
  • Hotel shuttle. If the venue has rooms, a loop between the hotel and the party can replace individual rides altogether.

Details That Decide How the Night Goes

Where will the vehicle meet the group?

That depends on the venue and the vehicle. An SUV or Sprinter can usually stop right at the entrance. Some venues don't have room for a stretch limousine, party bus or coach at the door, so the group meets the vehicle at a nearby spot. We'll confirm the meeting point before the night so you can tell your team.

What goes on the invitation?

  • The exact pickup point, such as "the main entrance on the west side," not just "outside the office"
  • The departure time and the return times
  • One named person to contact if someone misses the ride

Can the company get one bill?

Yes. Companies can book on a corporate account with company billing, so nobody files a personal expense report for the holiday party. See our corporate travel service for more.

Why December Books Up Early in DFW

Most companies pick from the same handful of evenings: the Thursdays, Fridays and Saturdays in the middle of December. Larger vehicles are committed first, because one coach can carry a whole company. Booking early doesn't change your price. Pricing is upfront, with no surge for busy dates. What booking early buys you is the vehicle and the date you want.

  • Consider a weeknight. A Tuesday or Wednesday party is easier to book and often gets better attendance.
  • Lock in large vehicles first. If you need more than about 25 seats in one vehicle, decide that early.
  • Book before the invitation goes out. You can't print pickup times until the vehicle is reserved.

Frequently Asked Questions

How many vehicles do we need for a company holiday party?

Start from expected attendance rather than the transportation RSVP. Up to 6 riders fits an SUV, up to 14 fits an executive Sprinter, up to 31 fits a minibus or executive bus, and up to 56 fits a coach. Several pickup points usually mean two or three smaller vehicles instead of one large one.

Should we book a shuttle loop or one vehicle?

One vehicle suits a party where everyone leaves together for a fixed start. A shuttle loop suits arrivals spread over an hour or more, or a venue with a hotel block.

What's the best way to get everyone home?

Set two or three return times, or book by the hour so the vehicle stays until the party ends. For an evening with a bar, home drop-offs beat a ride back to the office parking lot.

When should we book December transportation?

October or early November for a mid-December date, and earlier if you need a coach or bus. Larger vehicles are reserved first.

Can we put the whole event on one company bill?

Yes. A corporate account with company billing keeps the transportation for the event in one place.

Can you pick up from several offices?

Yes. We can time vehicles from different offices so everyone arrives at the venue together. Call (682) 276-6812 with your locations and head count.
